Terms & Conditions

1. Applicability

These general terms and conditions apply to all agreements between Zuivel 9 BV, trading under the name DOOR9 Hotel & Bar (hereinafter referred to as “DOOR9”), and the customer. By making a reservation, the customer confirms to have read and accepted these terms and conditions.

The person or business under whose name the reservation is made is considered the customer. That person is deemed authorized to accept the general terms and conditions on behalf of all participants in the booking, who will all be regarded as customers.

2. Services

DOOR9 offers bed & breakfast accommodation in 23 rooms (single and double rooms).

Prices listed on the DOOR9 website or those of its partners are for informational purposes only. DOOR9 is in no way bound by these published prices. An offer or quote from DOOR9 is valid for 10 days, unless otherwise stated.

Reservations may be subject to a deposit or advance payment.

3. Reservation and Confirmation

A reservation is only final upon written confirmation from DOOR9.

For reservations of more than 8 rooms, additional conditions apply (see Article 6). DOOR9 reserves the right to request a deposit as per Article 5.

4. Rates and Cancellation Policy

The reservation value equals the confirmed rate multiplied by the number of booked nights.

4.1. Individual Reservations (up to 8 rooms)

 

Standard or Fully Flexible Rate

  • Free cancellation up to 48 hours before the confirmed arrival time. Any advance payments will be refunded.

  • Cancellation less than 48 hours before arrival or in case of no-show: the full reservation value is due.

 

Non-Refundable Rate

  • In case of cancellation, change, or no-show, the full reservation value is due.

 

4.2. Group Reservations (8+ rooms)

 

  • Cancellation more than 3 months before arrival: free of charge; deposits will be refunded.

  • Cancellation more than 2 months before arrival: 15% of the reservation value due.

  • Cancellation more than 1 month before arrival: 35% due.

  • Cancellation more than 7 days before arrival: 85% due.

  • Cancellation within 7 days or less: 100% due.

  • No-show or early departure: 100% of the reservation value is due.

 

DOOR9 may require deposits for group bookings based on mutually agreed terms.

5. Payment and Deposits

For individual bookings, the invoice must be settled at check-out unless otherwise specified. Booking confirmation may require a full or partial prepayment.

 

For group bookings (8+ rooms):

  • Belgian customers:

    • 50% upon confirmation

    • 25% 14 days before the event

    • Remaining 25% and extras will be invoiced post-event

  • Foreign customers:

    • 50% upon confirmation

    • 50% 14 days before the event

    • Invoicing abroad is not possible

6. Invoicing

Invoices must be paid within 30 days, unless otherwise stated. In case of late payment:

  • A default interest of 12% applies automatically and without notice

  • A flat-rate penalty of 10% (min. €100) is charged to cover out-of-court collection costs

All outstanding invoices become immediately due if any single invoice remains unpaid.

DOOR9 reserves the right to suspend obligations under any other agreements until the overdue invoice is settled.

7. Check-in / Check-out

Check-in: from 3:00 PM

Check-out: before 11:00 AM

Late check-out may incur an extra night charge.

8. No-Smoking Policy

The entire hotel is smoke-free. Violation of this rule results in a flat-rate fine of €200 per offense. Additional actual damages may be charged.

9. Liability and Damage

The customer is liable for any damage caused to buildings, furnishings, or other guests. DOOR9 is not liable for loss, theft, or damage of personal belongings unless caused by gross negligence or intent. Valuables must be stored in a safe if available.

10. Payment of Extra Charges

All extras (bar, minibar, etc.) must be paid upon departure.

If refused, DOOR9 reserves the right to retain personal belongings and/or charge the credit card provided at check-in.

In such cases, DOOR9 will store the guest’s belongings securely, either in the guest’s room (locked) or elsewhere on hotel premises. A double room rate per 24 hours will be charged during the retention period.

11. Retention of Contractual Damages

DOOR9 is entitled to deduct any outstanding charges from the guest’s credit card. This includes:

  • Payments for services

  • Contractual damages from these terms and the house rules

  • Including (but not limited to):

  • Extra nights

  • Smoking violations

  • Overcapacity

  • Damage to property

  • Breach of guest obligations

 

In case of deduction, DOOR9 will send an explanation within 48 hours to the email address provided.

This message will include a description of the breach, documentation, breakdown of the damage, retained amount, and—if applicable—a damage quote. If more time is needed to prepare a quote, the guest will be notified within 48 hours.

12. House Rules

The house rules are an integral part of these terms. Guests must comply with them.

13. Complaints

Complaints must be reported immediately via email (info@door9hasselt.com) and by phone (+32 11 37 80 82) during the stay to allow resolution.

Complaints made after departure will only be considered if they were also reported during the stay before check-out.

14. Data & Privacy

Customer data may appear on DOOR9 documents and internal files for billing, customer management, promotions, studies, or information.

In accordance with the Belgian law of 8 December 1992, guests have the right to access and correct their data upon written request.

15. Jurisdiction and Governing Law

Only Belgian law applies.

In case of disputes, only the courts of the judicial district of Antwerp, division Hasselt, have jurisdiction.
